Propay question

I'm in the process of signing up for ProPay and Spa Boom. I know that many here use the ProPay service, and my question is what do you give the client for a cc reciept when completing the transaction? If I go for the premium package that lets me call the transaction in (better for me, since a lot of my work is out-calls or in an office with no net service) how do I handle the client's siggy and reciept?

I created a form in MS Word (you could do it any word processor) with blanks for dates, service description and the amount to be billed to the cc with a standard agreement/disclaimer at the bottom where they sign. I did a Google search and looked at what other companies were using for credit card billing agreements and then composed my own. If you would like, PM me and I'll forward you a copy of mine.

I also purchase a manual imprinter (the lever type) so that I could capture and imprint of the card at the bottom of the form - a necessity in case of disputes.

I currently use Propay and process via the web. I really like the fact that it is so simple to use. I have also purchased an imprinter and some charge card forms so I can get the card imprint and client signature. As has been stated before, you will NEED the siggy if there is a dispute....:| You can often find the imprinters for around $30 and the slips are not that expensive either... I think it is worth the extra cost to have the protection of being able to PROVE the sale.... JMO

Are you planning on using the SpaBoom Gift Certificates with ProPay? I contacted them when I switched from Cell Charge and they said that they don't support ProPay at this time. Please post here if that has changed as I'd love to incorporate the online GCs on my site without having to have an authorize.net or PayPal setup and the extra cost associated with those.... sigh

I just signed up for Propay, too, (have to mail them my check, still) and I did it after reading I think every post I could find when I searched about credit cards, Propay, Cellcharge, etc. on this forum. I still feel a bit confused, but from what I can understand, SpaBoom (my site is with them) will get the CC info from the purchaser of GCs, but not the extra number on the back of the card (forget what that's called...some kind of code). That causes a problem with companies like Cellcharge, which require that number. With Propay, that number is optional. SpaBoom will not actually process the CCs for payment, but they will give us the info so we can process them manually. I don't see why we couldn't do that with Propay, since we'll have the required info.

I chose Propay because I want to have the option of accepting CCs on outcalls, or in the studio, but I certainly hope it will work for processing my SpaBoom GCs...or else I'll t022

If anybody does this presently with SpaBoom and Propay, please let us know! (if possible before I send the check in on Monday!)

Yes, Propay and spaboom work great together. I did it for a year that way until I could justify getting a regular cc machine.

Just make sure your cc users know YOUR EMAIL ADDY WILL BE ON THEIR CC BILL, NOT YOUR BUSINESS NAME. I dont recommend using your personal email addy or something a client wouldnt know what it was, like [email protected] or something like that.

In order to avoid confusion, choose something professional and if possible, from your website. What I used for example, was [email protected]. I would print out reciepts (from my computer printer) for clients and on the bottom, it would notify them of this so they wouldnt forget. I never had someone do a charge back or email wondering what the charge was for.

Thank you so much for the info, everyone! I ended up speaking to customer service about the issue, and have ordered a card imprint machine and slips for the siggy/client reciept.

Yes, it uses your email address and your phone number as the charge information (if I find out different I'll let you know)

When on location, I use an old fashioned knucklebuster for an imprint and sig. I'm not sure about receipts when you call in the number, but when you process online, you can send an email message for the charge.

I use the authorization number on their receipts as confirmation of the charge. This has worked so far.

That's awesome! Thanks so much for putting my mind at ease. And thanks for the heads up about the e-mail address on their bill. Luckily, my e-mail with Propay does contain my business name, but I'll be sure to let clients know what to look for.

Any ideas on where to get the "knucklebuster" imprinter and forms? I think I've seen some that are lighter than the ones that are usually at store counters, etc. Guess I should start doing a search for those.

You can find them for around $15 (sometimes that includes shipping) with 100 slips... eBay is a great inexpensive source for these... (its where I found mine!)

I have propay, just upgraded to the premium account, and I just had a dinky little receipt book and I would hand write in the clients CC number and billing info and have them sign it, then when I got home, I would input the sale on the propay website. I finally "upgraded" and got a manual imprinter with my business name on it and the CC slips so I'll just start using those and process them the same way.

I got my manual imprinter, custom name plate (that imprints my business name on the receipt when I swipe cards) and about 50 or so receipt slips from Ebay for about $25 shipped.

The rep at ProPay sent me a link to a site for the knucklebusters. I ordered mine for about 11.00, and then ordered the carrying case (since I'm mobile half the time) and a package of slips for less than 40.00 total with shipping. Not bad.

Now time to spread the word in my marketing!
